How Octopia and Shopify Plus work together

The Octopia + Shopify integration keeps your Octopia marketplace activity and your Shopify store in sync. It automatically brings Octopia orders into Shopify, then sends shipping and stock updates back to Octopia as you fulfil orders in Shopify.

It is designed for merchants selling on Octopia-powered marketplaces who already use Shopify to manage their catalogue, orders and fulfilment. Instead of working in two separate back offices, you can centralise day-to-day operations in Shopify while still meeting Octopia’s marketplace requirements.

With this integration, you can centralise Octopia orders in your Shopify order queue, use your existing Shopify fulfilment workflows, apps and reporting, and keep Octopia tracking events and stock availability aligned with what actually happens in Shopify, in near real time.

Core sync directions

  • Octopia → Shopify (orders) New orders from Octopia are imported into Shopify on a schedule. The workflow looks for orders in selected Octopia statuses and, depending on your settings, can automatically accept pending orders in Octopia before creating corresponding orders in Shopify. It also matches customers and items so that the Shopify orders use your existing customer records and products.
  • Source of truth: Octopia is the source of marketplace order creation; Shopify becomes the system where you process and fulfil those orders.
  • Sync frequency: Every 15 minutes, typically looking back over the last 2 hours of Octopia orders. You can also run a manual import to test or backfill data.
  • Shopify → Octopia (tracking updates) When you ship orders in Shopify and add fulfilment details (tracking number, carrier, quantities), the integration sends this information back to Octopia.
  • Source of truth: Shopify is the source of truth for fulfilment and tracking details.
  • Sync frequency: Webhook-based, so updates are pushed in near real time when relevant fulfilment events happen in Shopify.
  • Shopify → Octopia (stock updates) When stock levels change in Shopify (for example, after sales, returns or manual adjustments), the integration updates the corresponding offer stock levels in Octopia for linked products. You can choose which Shopify locations to use and whether to aggregate quantities across locations.
  • Source of truth: Shopify is the stock master for Octopia listings.
  • Sync frequency: Webhook-based, so inventory changes are pushed in near real time as they occur in Shopify.
