Primary sync path

Shopify is the source for ecommerce order and refund activity. Paid Shopify orders can be imported into Sellsy as invoices every 15 minutes, checking the last 3 hours of orders. Shopify refunds can be imported into Sellsy every 30 minutes, checking the last 2 hours of refunded or partially refunded orders.

Sellsy is the source for invoice, credit note, payment, delivery document and stock management. When order import is enabled, Sellsy can receive customer, product, quantity, tax, shipping and payment information from Shopify. When refund import is enabled, Sellsy can create credit notes that reflect Shopify refund activity.

For inventory, Sellsy can be treated as the stock source of truth. Shopify inventory is updated from Sellsy stock movements every hour, checking recent changes from the last hour. Manual import is available for the Shopify order and refund workflows, which helps with testing, backfills and support investigations.

Common questions

How often does the integration sync?

Shopify orders are checked every 15 minutes over the last 3 hours. Shopify refunds are checked every 30 minutes over the last 2 hours. Sellsy stock movements are checked every hour over the last hour.

Why was a Shopify order not imported into Sellsy?

The order may not match the configured filters. By default, the order import workflow expects paid, open Shopify orders, with any fulfilment status. Also check whether the order currency is allowed and whether the products can be matched.

Can I test the integration before going live?

Yes. Manual import is available for the Shopify order and refund workflows. It can be used to test a specific order or refund, backfill records, or investigate a support case before relying on the scheduled automation.

What happens if a product cannot be matched?

The related document may not be created correctly until the product information is fixed. Keep SKUs consistent between Shopify and Sellsy to reduce matching issues.

Can Sellsy invoices be created as drafts first?

Yes. Invoice validation is optional. Keeping invoices as drafts is often safer during setup because your finance team can review the created documents before enabling automatic validation.

Why is a refund missing in Sellsy?

Check that the Shopify order is fully or partially refunded, that the refund falls within the sync window, and that the original order and products can be matched in Sellsy. Manual import can help investigate a specific refund.

How do filters and settings affect the sync?

Filters decide which records are eligible for import, such as payment status, order status, fulfilment status and currency. Other settings control what happens after import, such as invoice validation, payment creation, delivery documents, Smart Tags and Shopify writeback.
