How Secret Sales and Shopify work together

Why?

The Secret Sales + Shopify integration brings marketplace orders into Shopify and sends operational updates back to Secret Sales. It is designed for brands and retailers that use Shopify as their main system for order processing, fulfilment, inventory, and customer service.

Target

Secret Sales orders can be handled alongside orders from other sales channels in Shopify. Shipment tracking, stock changes, and refunds created in Shopify are then returned to the linked Secret Sales order or item.

Primary sync path

Secret Sales is the source of marketplace orders. Every 15 minutes, the integration checks the previous 2 hours of orders, matches their items with Shopify variants, and creates or safely reuses the linked Shopify order. The Secret Sales order is accepted only after successful processing in Shopify.

Shopify is the source of truth for fulfilment tracking, inventory, and refunds. These updates are sent to Secret Sales in near real time when the relevant event occurs in Shopify. Location filters, product matching rules, stock buffers, maximum quantities, and refund-reason settings determine which updates are sent and how they are handled.

The workflow checks Secret Sales for recent orders, matches each order line with a Shopify variant, and creates the corresponding order in Shopify. If a previously linked Shopify order already exists during a retry, it is safely reused instead of creating a duplicate.

Why was a Secret Sales order not created in Shopify?

Check that its order lines match valid Shopify variants and that the Shopify connection has the required access. The marketplace order is not accepted until Shopify processing succeeds.

Could a retry create a duplicate Shopify order?

The workflow is designed to reuse an already linked Shopify order during retries rather than create another one.

Why was tracking not sent to Secret Sales?

The Shopify order must be linked to Secret Sales, the fulfilment must contain tracking information, and its location must be allowed by the tracking-location filter.

Why did a stock update not appear on Secret Sales?

Confirm that the product can be matched by the selected SKU or barcode method and that its Shopify location is included. Stock buffers and maximum-stock limits can also change the quantity sent.

How do location and aggregation options affect stock?

Location filters decide which warehouses contribute inventory. Aggregation adds their available quantities together, so it should be enabled only when the combined stock can be used to fulfil marketplace orders.

Why was a refund not sent?

The Shopify order must be linked to a Secret Sales order, and the refund must use a reason accepted for that Secret Sales shop. Review the default reason if no specific mapping is available.
