Integration guide

How eDog and Shopify work together

Why?

The Virtualstock + Shopify integration connects Virtualstock with Shopify so orders, stock and shipment updates can move between both systems automatically.

Target

It is designed for retailers and brands that receive orders through Virtualstock and use Shopify as their ecommerce, order management or fulfilment platform. It helps teams centralise marketplace and retail partner activity in Shopify without manually re-entering orders or updating portals.

Benefits

The main benefits are faster order processing, fewer manual updates, better stock accuracy and more reliable dispatch communication with retail partners.

Data flows

What moves between the apps

Primary sync path

Virtualstock is the source of truth for incoming retail partner orders. Every 15 minutes, the integration checks the last 2 hours of Virtualstock orders, imports eligible orders into Shopify and can acknowledge them in Virtualstock. Manual import is also available for testing, backfills or support investigations.

Shopify is the source of truth for fulfilment and inventory updates. When a Shopify fulfilment is created, tracking information can be sent back to Virtualstock in near real time. When Shopify inventory changes, stock levels can be updated in Virtualstock in near real time.

Product matching is important in both directions. Orders and stock updates rely on consistent product identifiers such as SKUs, barcodes, part numbers or configured product mappings.

Reliability

Monitoring, failure handling and manual replay

Synchron focuses on operational visibility after the sale: logs, error context, monitoring and replay where supported. Read about trust and reliability.

Failure handling

  • Configured transfers are monitored with workflow logs and error context so teams can see which record failed and why.
  • Failures commonly need the underlying issue corrected first, such as credentials, permissions, product matching, order state, carrier data or a marketplace API response.
  • Where the workflow supports it, corrected transfers can be replayed or manually re-run instead of starting the whole process from scratch.

Manual replay

  • Manual import is useful during onboarding, backfills, support checks and controlled reprocessing of specific records.
  • Replay still depends on correcting the underlying issue first, such as product matching, credentials, permissions or invalid source data.

Use cases

When to use this connector

  • Use it when Shopify should become the operational workspace for Virtualstock orders.
  • Use it when warehouse teams need a single Shopify picking and fulfilment process.
  • Use it when manual order entry from Virtualstock into Shopify is taking too much time.
  • Use it when order volumes from retail partners are increasing.
  • Use it when Shopify is where orders are fulfilled and tracking numbers are added.
  • Use it when retail partners need automatic dispatch confirmation through Virtualstock.
  • Use it when you want to reduce manual updates in the Virtualstock portal.
  • Use it when retailer invoice creation should be linked to shipment confirmation.
  • Use it when Shopify inventory should drive the quantities shown in Virtualstock.
  • Use it when you want retail partners to receive more accurate stock availability.
  • Use it when stock changes, returns or cycle counts are managed in Shopify.
  • Use it when product matching needs to be controlled through a mapping table.

FAQ

Common questions

How often are Virtualstock orders imported into Shopify?

The order import workflow runs every 15 minutes and checks the last 2 hours of Virtualstock orders. Manual import is also available for testing, backfills or support investigations.

Why was a Virtualstock order not created in Shopify?

The most common reason is product matching. If the incoming product cannot be matched and automatic product creation is disabled, the order will not be imported. Check that the selected Virtualstock identifier matches Shopify SKUs or barcodes as configured.

Can missing Shopify products be created automatically?

Yes, the order import workflow can create missing products in Shopify when the option is enabled. Disable this only if you prefer to review missing or mismatched products before importing orders.

Why did a tracking update not appear in Virtualstock?

Tracking updates are triggered by Shopify fulfilments. Make sure the order came from Virtualstock and that the Shopify fulfilment contains the required dispatch and tracking information.

Can the integration create Virtualstock retailer invoices?

Yes, the tracking workflow can create a retailer invoice when a Shopify fulfilment is dispatched. This must be enabled and the retailer identifier must be configured.

Why is stock in Virtualstock different from Shopify?

Check whether stock updates are limited to specific Shopify locations. If the location setting is empty, all Shopify locations are used; if specific locations are configured, only those warehouses feed Virtualstock.
